Accounts and cards

Current accounts held at the partner bank, with virtual and physical cards issued per person or per vendor. Limits and merchant categories are set by you rather than by a support ticket, which is the part finance teams actually notice.

Reconciliation

Every transaction arrives with the invoice attached, matched against your accounting system overnight. The month-end that used to take a week takes an afternoon, and the exceptions are a list rather than a hunt.

Cross-border

Payments in eleven currencies at a spread we publish as a number rather than as "market rate". It is not the cheapest available at high volume, and the pricing page says which competitor is.

The spread is a number, not a phrase

Two things in this category are routinely obscured and both belong on the first page. The first is who actually holds the money: a platform is not a bank, deposits sit with a licensed partner, and any product that does not say which one is hoping you will not ask. The second is the fee schedule — headline pricing here usually excludes the transfer charges, the foreign exchange spread and the per-user seat cost that together make up most of a real bill.

Are you a bank?

No. VaultPay is a platform; the accounts are held at a licensed partner bank and your deposits sit with them under their regulatory protections rather than ours. Any provider in this category that does not answer this question plainly is the one to be careful about.

What happens to our money if you go out of business?

It stays where it is, because it was never with us. You would lose the software — the interface, the reconciliation, the card controls — and you would keep the accounts and the balances at the partner bank. That is the entire structural argument for this model and it is worth understanding before you choose any provider here.

Is this cheaper than our current bank?

For most companies under about fifty crore of annual turnover, yes, mostly on reconciliation time rather than on fees. Above that the answer is often no, and we will tell you on the call — a large volume of cross-border payments is genuinely better priced elsewhere and we name who.

How long does migration take?

Two to six weeks depending on how many vendor mandates have to move, and the mandates are the slow part rather than anything technical. We do not charge for migration and we do not ask for an annual commitment to get the published price.

Do you charge per user?

No. Adding somebody to the platform is free, which matters because the alternative encourages sharing logins and that is how approval trails stop meaning anything.

Can we export everything if we leave?

Yes, in full, in a documented format, at any time and without asking. A platform that makes leaving difficult is a platform that has stopped competing on the product.
